DATA PROTECTION NOTICE FOR APPLICANTS


DHL Group and its associated companies (hereinafter referred to as DHL Group) cares about your privacy. DHL Group is committed to protect the data of job applicants in accordance with applicable regulations. This Data Protection Notice describes what data we collect, where and how we collect it, to whom we will pass it on, for example when you apply for a job, and which rights you have.

Scope of this Data Protection Notice

This Data Protection Notice applies to all DHL Group companies in the European Economic Area. All other DHL Group companies follow this Data Protection Notice to the extent that there are obliged by applicable external and/or internal regulations. For some job applications, there might be supplementary or more specific information on data privacy. If relevant, you will find this information on the specific application website when starting the application process.

Why we collect your data

DHL Group only processes your data for specific purposes and where we have a legal basis to do so. This can either be:
  • The performance of a contract or when you take steps into starting a contract with us
  • To comply with a legal obligation
  • The legitimate interests pursued and to safeguard your and our rights e.g. to provide you with a more efficient and cost-effective service, to better manage our relationship with you and the opportunities that are presented with it, to develop and improve our recruitment services and processes, to better protect your data and to ensure safety and compliance. We will make sure that these legitimate interests are balanced. When applicable, you have the right to object
  • Consent, which you may withdraw at any time

1. Handling your job application

In the recruitment process, the following categories of your data will be processed by the legal DHL Group entities posting the job vacancy for the purposes and based on the lawful grounds listed in the table. The types of data that we may request from you and process are determined by the requirements of the country in which the position is located.
  • Core data (name, date of birth, address), where applicable
  • Contact details (address, telephone number, email address, etc.), where applicable
  • Application details (CV, motivation letter, certificates, references, interview notes and whatever data you provide us or wish to provide during interviews)
  • Photograph, video where applicable
  • Nationality and work permit, where applicable
  • Details about job suitability in respect of health, where applicable
  • Previous convictions where this is applicable to the advertised position, e.g. for drivers
  • Financial details to reimburse you for travel expenses, where applicable
  • Data you provided via publicly available platforms used for professional purposes, according to the applicable terms and conditions of the company responsible for operating the platform
  • Communication and communication media (e.g. confirmation of your application or information about conducting a telephone/video interview, where applicable)

In addition to these categories of data, in order to assess each job application, we require data that provides an insight into how suitable you are for the position in question. Unless there is a legal obligation to provide information about certain personal requirements, e.g. proof of credentials for drivers/pilots, you decide what data you will provide to us.

To manage our relationship with you, including
  • to assess your suitability for a job (purpose), the lawful ground for the processing is performance of a contract
  • to set up and conduct (video) interviews (purpose), the lawful ground for the processing is performance of a contract
  • to screen your data against the applicable sanctions lists and laws (purpose), the lawful ground for the processing is a. legal obligation and b. legitmate interest.
 

How we collect your data

We collect data directly from you when you supply your data on our career website or other communication channels. When you use a different channel e.g. via publicly available platforms used for professional purposes such as LinkedIn, we will process your data according to the applicable terms and conditions of that platform. When we work with recruitment agencies, we receive your data indirectly. In this case, it is the responsibility of those agencies to ensure the accuracy of the data and to transfer it to us in accordance with applicable law.

How long we keep your data

  • If the recruitment process concludes without your application succeeding we will store your data for further six months, unless applicable legislation requires another retention period
  • If you are appointed, we will add your data to your personnel file in line with applicable legislation
  • For applicants to jobs in the Unites States of America, the profile and job applications will be kept for three years due to the OFCCP and EEO regulations

How we secure your data

We take appropriate steps to take care of the data and to address security and risks of data loss. We secure your data against any form of unlawful use or processing. We ensure appropriate technical and organizational measures to keep your data properly secured in accordance with the applicable law.

Will your data be passed on 

The information we collect may be shared for the purposes described in this Privacy Notice with the following categories of recipients:
  • DHL Group Companies (where applicable, Works Council and other representative bodies)
  • Business partners hired to provide services on DHL Groupbehalf, e.g. software providers
  • Public authorities, where transfer is required by applicable law


If you apply for a position outside of the European Economic Area (EEA) your data will be shared with the recipients mentioned above. The transfer to our DHL Group Companies is in accordance with the DHL Group Data Privacy Policy. In cases where a business partner outside the EEA is processing your data on behalf of DHL Group companies, the business partner will be bound by contractual agreements and supplementary measures where applicable.

We respect your rights

Where applicable, data protection law provides multiple rights for you to exercise:
  • Right to access information
    You have the right to be informed on the information we hold on you. We will provide you this information within one month after your request, in so far we are not affecting the rights and freedoms of another person by doing so
  • Right of rectification
    You have the right to request a correction of any inaccurate data about yourself
  • Right to object
    You have the right to challenge certain types of processing, such as direct marketing
  • Right to withdraw your consent
    You have the right to withdraw your consent at any time
  • Right of portability
    You have the right to port your data to another company. We will give you an export of the data you provided to us
  • Right to erasure/be forgotten
    You have the right, in certain circumstances, to request a deletion of your data or to be forgotten
  • Right to restrict processing
    You have the right to request a limitation in the way your data is used
  • Right related to automated decision making including profiling
    You have the right to request a review of automated processing. At this moment, DHL Group does not apply any automated decision making with legal consequences for you. In case it will be done in the future, we will do so in accordance with the applicable law

If you would like to assert your rights regarding your specific application, please direct your request to the relevant person involved in the recruitment process of the company offering the job or where applicable to the Data Protection official mentioned in the job vacancy.
Please note, that DHL Group cannot handle your request without sufficient proof of your identity. Please note that the applicable data protection law may impose conditions on exercising the above rights.
If you are of the opinion that your rights are not being sufficiently upheld, you have the option to file a complaint with the relevant Supervising Authority that is responsible for the DHL Group company. Changes to this Data Protection Notice 

We reserve the right to change this Privacy Notice from time to time according to the changes in our services, the processing of your data or in the applicable law. We therefore recommend to visit our Data Protection Notice periodically.
